Why our invoice generator never sees your invoices
An invoice holds some of the most sensitive details a small business has: client names, what you charge, and the bank account you get paid into. So we built Our Biz Tools to run entirely in your browser. You fill in the form, download the PDF, and the details you typed never reach our server.
The problem with most "free" invoice tools
Search for a free invoice generator and a pattern shows up fast. The first invoice is free. Then you hit a sign-up wall, a watermark on the PDF, or a prompt to upgrade before you can download.
Each of those has a cost. A sign-up means your client list now lives in someone else's database. A watermark means the invoice your client opens advertises another company. And a download limit means the tool stops working the week you are busiest.
For a plumber sending ten invoices a month, or a freelance designer quoting three new clients a week, none of that should be part of getting paid.
There is a quieter cost too. When a tool holds your data, leaving it gets harder. Your client details, your past invoices, and your numbering all sit behind a login. Moving to something else means exporting, re-entering, and hoping nothing gets lost. We wanted the opposite: a tool you can use today and walk away from tomorrow without losing anything, because everything you made is already a PDF on your own computer.
What we built instead
Our Biz Tools is a set of free tools for freelancers, contractors, and small business owners. No account, no login, no watermark.
- **Seven document generators:** invoice, quotation, tax invoice, receipt, purchase order, credit note, and delivery note.
- **Three calculators:** VAT and sales tax, profit margin and markup, and freelance hourly rate.
- **13 templates** you can switch between with one click, from plain and minimal to bolder designs.
You fill in your business and client details, add line items, and download a PDF ready to send.
How it works in practice
Say you run a small electrical business and just finished rewiring a kitchen. Here is what sending the invoice looks like.
1. Open the invoice generator. There is nothing to sign up for, so the form is the first thing you see.
2. Add your business details and upload your logo. You can crop it right in the tool so it sits cleanly at the top of the page.
3. Add the client's name and address, then the line items: labour hours, cable, sockets, the call-out fee. Quantities and prices multiply out as you type.
4. Add a discount or a shipping amount if the job needs one, plus your banking details so the client knows exactly where to pay.
5. Pick a template, check the live preview, and download the PDF.
The first invoice takes a few minutes. The second is faster, because your business details and banking information are still filled in from last time.
The same flow works across every document. The quotation, receipt, and purchase order generators all use the same layout, so once you have sent one document you already know how to send the rest.
Why running in the browser matters
We made one decision early that shapes everything else: the tools do their work on your device, not ours.
The details you enter (company info, client info, line items, banking details) are saved in your own browser so they are still there next time you open the tool. They are not sent to or stored on our server. There is no database of your clients for us to lose, sell, or get breached.
It also keeps the tools fast. There is no round trip to a server every time you change a quantity, so line totals and tax update as you type.
One small exception is worth stating plainly. The first time you visit, the site looks up which country you are in so it can pick a sensible default currency. A business in South Africa sees rand, one in the UK sees pounds. That lookup is about your location, not your documents. You can change the currency yourself at any time.
What that choice costs
Being honest about the trade-off matters more than the pitch.
Because there is no account, there is no cloud sync. Your saved details live in the browser you used. Switch to a different laptop, or clear your browser data, and you start with a blank form. For most small businesses that invoice from one computer, that is a fair trade for never handing over client data. If you invoice from several devices, keep a copy of each PDF you send.
It also means we cannot recover anything for you. If you delete your browser data, there is no "forgot password" link and no backup on our side. We think that is the right call for a tool that handles bank details, but it is a real limit and you should know about it before you rely on the site.
Mistakes the tools help you avoid
Most invoicing problems are not about design. They come from small gaps that slow down payment.
- **Leaving out payment details.** An invoice without a bank account or payment method gives the client a reason to wait. The banking section sits right in the form so it is hard to forget.
- **Editing an invoice after it has been sent.** If a client returns goods or you overcharged, issue a credit note instead of changing the original. It keeps your records clean and matches what most accountants expect.
- **Using a plain invoice when a tax invoice is needed.** If you are registered for VAT or sales tax, your clients may need a tax invoice to claim it back. We keep it as a separate generator so the right fields are there from the start.
- **Guessing your rate.** The hourly rate calculator works backwards from the income you want and the hours you can realistically bill, so your quotes start from a number that covers your costs.
- **Confusing margin with markup.** A 50% markup is not a 50% margin. The margin calculator shows both side by side so your pricing does not quietly lose money.
Who it is for
Our Biz Tools is for people who need a professional document out the door in a few minutes, not a full accounting system:
- Freelancers who send a handful of invoices a month.
- Contractors and tradespeople who quote on site and invoice when the job is done.
- Small business owners who need the occasional purchase order, credit note, or delivery note.
If you already run accounting software with bank feeds and reconciliation, keep using it. If you just need to send a clean invoice today, you do not need to sign up for anything.
Use it like an app
You can install Our Biz Tools on your phone or computer straight from the browser. It then opens in its own window like any other app, which is handy if you quote on site from a phone and want the tool one tap away instead of buried in a browser tab.
